We've all been there: you join a Zoom meeting, and suddenly "Otter.ai Notetaker" or "Fireflies.ai Bot" joins the call. It's distracting, it changes the dynamic of the conversation, and it alerts everyone that they're being recorded by a third-party service.
If you want to transcribe a Zoom meeting for free, privately, and without bots, the best method is to record the meeting locally and transcribe the file afterward.
Step 1: Record the Zoom meeting locally
Instead of using cloud recording, use Zoom's local recording feature. This saves the audio and video files directly to your computer.
Click the Record button on the bottom toolbar.
Select Record on this computer.
When the meeting ends, Zoom will automatically convert the recording and open the folder containing the files.
Step 2: Locate the audio file
In the folder Zoom opens, you'll see several files. Look for the one named audio_only.m4a. This is the file you want to transcribe. (You can also use the video file, but the audio file is much smaller and faster to upload).
Step 3: Upload to Talk2Memo
Create a free account on Talk2Memo. The free plan gives you 200 minutes of transcription every month — more than enough for a few long Zoom meetings.
Go to the Recordings tab and click + New Recording.
Select the Import File tab.
Upload your audio_only.m4a file.
Step 4: Get your transcript and AI summary
Talk2Memo will process the audio, identify the different speakers in the meeting, and generate a full transcript. Better yet, it will automatically use AI to create a summary of the meeting, including a list of action items and decisions made.
Why this method is better than bots
Using a post-meeting transcription tool like Talk2Memo has several advantages over meeting bots:
Privacy: No bots joining your calls. You control exactly what gets recorded and transcribed.
Professionalism: You don't have to explain to clients why a third-party AI service is lurking in the participant list.
Data Control: Talk2Memo deletes your audio files after 30 days and never uses your meeting transcripts to train AI models.
